Awards Committee Chair
Appointed position, one year term.
Major function or purpose of office:
Coordinates the process whereby the Prentice Hall Outstanding Supervisor and the Casio Administrator Supporting Science awardees are selected.
Other Duties:
Serves as a member of the Executive Committee.
Actively solicits award nominations from Association affiliates.
Updates the award description and nomination form and submits them for publicity through the Association, NSTA, and affiliates' newsletters.
Maintains communication with Prentice Hall, Inc. regarding progress on their program planning for the NSTA convention.
Provides nomination forms upon request.
Receives completed nomination materials, prepares them for use by a local committee and convenes this committee to conduct preliminary screening to determine finalists.
Prepares nomination materials for the finalists and sends them with instructions, checklist, and ranking form to each Awards Committee member for individual ranking.
Receives the ranking forms from each Awards Committee member, tabulates the results, and convenes the Local Awards Committee to authenticate the results and declare winner.
Coordinates notification of the awardee regarding his/her honor and coordinates with Prentice Hall, Inc. arrangements for him/her to officially receive the award at the annual NSTA convention.
Prepares letter and certificates congratulating the finalists and other nominees and thanking them for their entry.
Coordinates the awardee's attendance at the NSELA/AETS Luncheon to receive the honor.
Prepares a final report for the Association annual meeting.
Turns over appropriate materials including all completed nomination forms and materials received during the year to the new awards chairperson to assist in the coordination of the subsequent year's program.

Affiliates Committee Chairperson
Appointed position, one year term
Major function or purpose of office:
Coordinates communication with affiliates of the Association.
Other Duties:
Sends a request to each affiliate for information including a list of officers, a contact person, dates of important meetings, conferences or workshops and their location after updating the standard form for this purpose. This is done immediately following the annual meeting of the Association.
Sends a request on June 1 to each affiliate asking for ideas or suggestions on how the Association can help them.
Develops and/or updates a form for non-affiliated supervisory groups to complete when applying for affiliation.
Writes articles for the Newsletter on procedures for affiliation.
Sends copies of all affiliate's correspondence to and from the Association to the Executive Director, so that additional follow up may be made when needed.
Requests the names and addresses of groups, associations or persons in each region that should be placed on the Association mailing list and forwards these names to the Executive Director.
Requests names and addresses of affiliate members so that they may be placed on the Association mailing list.
Requests that the Association be placed on affiliate mailing lists for all publications and newsletters.
Sends a request to all affiliates around September 1 to submit the names of candidates for the Executive Committee and the Outstanding Science Education Leader Award. All necessary forms and details will be sent with this letter, including copies of job descriptions for vacancies in the coming elections.
Sends membership materials and instructions on unified dues to each affiliate on September 15.
Sends an inquiry to each affiliate on October 15 asking if they would like a member of the Executive Committee to meet with them.
Sends an inquiry on October 30 to all supervisory groups not affiliated with the Association requesting them to affiliate and including instructional procedures with the inquiry.
Sends copies of Association Newsletters first class to all affiliates and non-affiliated supervisory groups.
Sends necessary form to affiliates on December 1 encouraging them to participate in area and national conventions.
Sends letter of invitation on December 1 with required RSVP inviting one representative of each affiliate to attend a breakfast sponsored by the Association.
Sends an inquiry on January 1, including a list of positions and job descriptions, to each affiliate seeking members who would be willing to serve the Association in a national capacity.
Cooperates with the Executive Director in sending a list of services provided by the Association to each affiliate on February 15.
Sends a letter to all affiliates one month prior to each Newsletter issue inviting members of their organization to submit articles or news items to the Newsletter editor.

Executive Director
Appointed position, three-year term
The Executive Director is appointed by the Executive Board and there is an annual review in Executive Session by the Executive Board. The Executive Board may terminate the Executive Director's appointment at any annual meeting with a majority vote followed by a 90 day written notice. The Executive Director receives an annual stipend to be determined at the annual meeting in executive session with a majority vote.
Major function or purpose of office:
Coordinates and administers the affairs of the Association as directed by the Executive Board.
Other Duties:
Submits a proposed annual budget to the Executive Board for review and approval at the annual meeting.
Implements the provisions of the Constitution, bylaws, and policies adopted by the Executive Board.
Maintains Association records.
Acts as the primary liaison person for the Association..
Coordinates the operation of the Association.
Manages the general affairs and day-to-day business of the Association.
Collaborates with the President, President Elect, and other appropriate board members to plan convention business.
Supervises membership activities and services and reviews the financial status of the Association.
Prepares articles for the Newsletter annually, informing the membership of the status of the Association.
Executes all contracts and agreements by direction of the Executive Board, for and on behalf of the Association.
Facilitates the preparation of agendas for the Executive Board meetings.
Advises the President Elect and/or the Executive Board about appointees to committees.
Reviews and edits job descriptions, as appropriate.
Facilitates the development of the membership directory.
Maintains a list of appropriate names and associations to which Association mailings should be made.
Coordinates the distribution of certificates, printed materials, and other items for membership services.
Provides for the distribution of printed materials and services to the membership and the Newsletter Editor.
Publishes and provides a directory of the Executive Committee and committee chairpersons, annually.
Serves as an ex-officio member of all committees of the Association.

Membership Committee Chair
Appointed position, annually.
Major function or purpose of office:
Maintain the NSELA membership list.
Other Duties:
Serves as a voting member of the Executive Committee.
Organizes the Membership Committee and solicits ideas and suggestions for the purpose of increasing membership and providing more and better services to the members.
Recruits new members by personal contact and from state lists, professional journals, and other science publications.
Assists the Executive Director in making arrangements to disseminate membership materials at state, local, area, or regional meetings, as requested.
Prepares membership reports for the Newsletter, the Executive Committee, and the Membership Committee.
Submits the Membership Committee budget to the Executive Board for approval.
Provides address labels to sponsors of newsletters, and sells labels to the benefit of the Association.
Provides membership materials for Executive Committee members and other members, as requested.
Maintains the membership records.
Send a new member packet to all new members (packet contains welcoming letter from president, NSELA brochure, NSELA Handbook, NSELA Journal, and any other useful information).
Conducts other duties as outlined in the Articles of Incorporation and/or Bylaws of the Association.
Procedures:
New Member: Each new member is entered into the membership data base. A new member packet is sent to the new member. The packet contains a welcoming letter from the current president, the latest newsletter, the latest journal, a handbook, a NSELA brochure, an Alamo car rental discount flyer, and any other useful forms of information. Source of forms are as follows: NSELA brochure - Executive Director, President's Letter - current president, Newsletter - Newsletter Editor, Journal - Journal Editor, Handbook - Membership Chair, Alamo Flyer - Alamo Car Rental.
First Renewal Notice: The first renewal notice is sent in November. The envelope contains a "please renew" letter from the current president, a NSELA brochure with renewal form, an Alamo car rental flyer, a return envelope and any other information that the Board would like sent. It is sent to all members that have not renewed for the next calendar year by November. Source of forms- See above. Mailing envelopes are purchased and should have a return address in the upper left corner and a non - profit mailing stamp in the upper right corner. Return envelopes are purchased and then stamped with the Membership Chairman's address. Renewal letters are sorted by zip code and mailed in bulk through the post office containing the non - profit bulk mailing permit.
Second Renewal Notice: The second renewal notice is sent in January to all members that still have not renewed by that date. The envelope contains a "please renew" letter from the current president, a NSELA brochure with a renewal form, and a return envelope. Mailing procedure is the same as above.
Regional Directors Mailing Labels: Mailing labels of members that still have not renewed by the annual meeting are provided to Regional Directors so that they may send a personal letter to those in their region.
Quarterly Reports: Reports are sent to the Secretary in June, September, and December, and to the Executive Director in March on the standard Quarterly Status and Annual Summary Report forms. The report should include for each region, the current membership, new members, non - renewals for the previous year, current renewals, and any other information deemed necessary by the Executive Board.

Nominations and Elections Committee Chair
Appointed, one-year term
Major function or purpose of office:
Attends to the process and paperwork needed for the nomination and election of NSELA officers.
The Nominations and Elections Chair is appointed by the President, and the committee consists of a Chair, one member from each region, and a teller.
Other Duties:
Send notification to the Newsletter Editor calling for nominations in time to meet the May/September publication deadlines. Notification to list offices open to nominations, provide space for name, address, and telephone number, call for qualifications and a return deadline of November 15.
Sends name of nominees to membership chair to confirm membership standing. Confirmation of nominees willingness to run must be received before November 15.
Sends names of nominees, background information and ranking sheet to committee and President before December 15 with return to be prior to January 10.
Sends request to the President for membership addresses on gum labels.
Analyzes results of committee rankings and provides the President with the names of the candidates.
Notifies candidate of the committee's findings, provides a job description of the office, secures a willingness to serve, requests candidates to state present position, write a 50 word statement regarding their professional preparation and experience, a 50 word statement regarding professional contributions, and for all candidates a 150 word statement of their goals for the organization. Total number of words not to exceed 200. The President Elect provides a clear black and white photograph 5 x 6.5 cm. Statements and pictures are to be received by the chairperson before January 1.
Proofreads typed copies.
Prepares a ballot to include names and offices, deadline for return of ballot, and states permitted to vote for regional candidates. Ballot size to meet acceptable post office specifications and contain the address of the teller.
Ballots are in the mail by January 30.
Latest return of ballot is March 1.
Results are available by March 5.
Proofread the typed copy of the ballot.
Print the ballot.
Mail the ballot with slate of candidates to membership 60 days prior to annual business meeting.
Receive results of the election from the teller and reports results to the President and the committee members three weeks prior to the annual business meeting.
Prepares a written report for distribution to the Executive Board and those in attendance at the annual business meeting.
Gives a verbal report at the request of the President at the old executive meeting and at the annual business meeting.

Major function or purpose of office:
Represents science leaders, at all levels, in relations with the National Science Teachers Association.
